School: Whole College

Hours: Full-time, full year

Contract: Fixed Term

Classification: Support Staff

Responsible to: Director of Business Administration

Responsible for: Oversee and administer the efficient running of all information systems. Ensuring whole college data is accurate, output is timely and meets user’s requirements. Working with Senior teaching staff providing reports, tracking data and making suggestions for improvements and additions to enhance the data value.



POST-HOLDER QUALIFICATIONS, EXPERIENCE & RESPONSIBILITIES.





THE SUCCESSFUL CANDIDATE WILL

· Have a degree or equivalent in a data -related subject or 2-3 years’ experience in this field

· Have experience in managing date and information in an educational organisation

· Have expertise in Educational Management Information Systems, ideally SIMS

· Good computer skills – including Microsoft Office (especially good at Excel, Word)

· Be committed to quality, attention to detail, and high standards

· Ability to handle multiple tasks simultaneously

· Good verbal and written skills in English

· Have a genuine passion for education and a deep understanding of how data can enhance organisational efficiency, as well as support teachers and school leaders in maximising student learning outcomes

· Role model a mindset of continuous development and improvement, to meet and exceed expectations

· Be able to connect with and train staff across the College community



POST-HOLDER SPECIFIC RESPONSIBILITIES.







The College’s Management Information System (SIMS)




To be accountable for the data provided to a range of staff and other stakeholders, making sure that the quality of data systems is maintained and that data is presented to meet stakeholder needs.
To be proactive in suggesting data reports, analysis and dashboards to enhance the College’s data analysis a tracking.
To maximise the functionality of SIMS to ensure the easy capture of data.
To provide timely support as necessary for teaching and administrative staff in the use of SIMS
To deliver training as part of CPD for academic staff, demonstrating the tools and reports available in SIMS to enhance usage throughout the College.
To provide timely data that enables school staff to accurately evaluate performance, set targets and monitor the impact of planned changes.
To develop sophisticated reports tailored for the needs of the College, ensuring that data systems support school staff to evaluate the performance of every child in every classroom.
To work in partnership with staff from diverse parts of the school to ensure that their data needs are understood and inform the development of the school’s systems.
To work with the ICT support team to create a synergy between the various parts the SIMS and the needs of data users.
To be responsible for compliance with data expectations in each key stage.
To develop the school information systems which assist in enhancing teaching and learning outcomes for individual pupils, for groups of learners and the school as a whole
To work in partnership with the deputy heads of each school in preparing the reports home, ensuring that accurate data is captured and the reports home are generated in time
Troubleshoot data issues in reports home










To work with the relevant staff to ensure the smooth operation of the following systems used by the school, taking responsibility for Updates, End of Year Processes, Account Creation, Permissions (SLG, Sharepoint (staff portal, parent portal, student portal),PTS, SOCS and Managebac.







SIMS:

Set up Pastoral Instruction for whole school before the school start
Promote whole school’s data correctly to next school year at end of school year
Teach/Support the School PAs to assign the students to curriculum classes before the school start of the School year.
Assessment set up (Grade/Result/Aspect/Template)
Update/maintain 1000+ marksheets
Create new marksheets according to different department/teacher’s requirement
Produce student term individual reports
Including the creation of individual term report templates according to Deputy Heads’ requirement
Check report data (minimum 10,000 grades) & individual student’s report format for about 1650 students every term before the report print
Upload student reports to SIMS & Firefly, and ensure all the reports have correct student information and academic data.
Update grades as requested
Support Ducks/JS/SS attendance reporting
Create SIMS accounts for new staff
Cooperate with Timetabler to make sure the Nova-T data mergers with SIMS correctly
Create any kinds of data tracking marksheet/analysis report in SIMS and support them to get what they need
Cooperate with DCI IS team to prepare the data they need
Provide training to teachers/PAs/HR/Admissions relative SIMS user for how to use SIMS for their section
Trouble shooting for any kinds of SIMS questions for whole school
Update Discover


Data:

To maintain CEM/Actual Exam data in/GL data in & out SIMS
Generate/Analyze the different area data from SIMS according to different department’s requirement across to whole school






Systems:



Parent Evening System

Support SS/JS/Ducks uploading the data from SIMS to system before every event
Trouble shooting for any booking & class issue & parents account & staff account issue
Training for any other department who needs to use Parent Evening System






Firefly

Solve parents & students & staff accounts issue
Provide Firefly Support Service during the Parents School Events requested by different schools
To make sure the student reports publish on Firefly correctly






SOCS

Maintain staff and student’s accounts
Cooperate with 3 school’s CCA Coordinators closely to make sure the system goes smooth, and do trouble shooting for any SOCS relative request or issue






Maialearning

Support University Counselling Department to import the relative data to system






Edulink

Trouble shooting for any relative request or issue


Wohui

Trouble shooting for any relative request of issue
Support Mandarin department to create the students’ account

ESSENTIAL

A relevant professional or higher-level qualification ?

Experience of managing, analysing and reporting on various databases ?

Excellent IT skills and the ability to use Microsoft Applications, particularly excel to a higher level ?

Experience of Managing and utilizing the SIMS database or similar ?

A Clear understanding of the principles of Data Protection ?

Personalable, courteous and approachable at all times ?

Excellent organizational skills ?

High levels of emotional intelligence and resilience ?

Excellent communication skills, both written and spoken in English with clear, concise, and engaging presentation skills ?

The ability to work quickly, accurately and under pressure ?

Experience of working with large data sets to extrapolate patterns, conclusions and recommendations ?

High level of professional integrity and confidentiality ?







DESIREABLE Excellent communication skills, both written and spoken in Mandarin ?

Knowledge of Data Management, reporting and analysis in an educational environment ?

Experience of data risk management ?
